The Headlines:  
In the role of Senior Administrative Assistant – Human Resources, you will be responsible for
coordinating functional processes and outputs and providing administrative support to a functional HR area, including Organizational Effectiveness, Diversity & Integrated Talent Management, Learning & Development, Attendance/FMLA and/or Compensation & People Systems.

 

This position reports to an HR Business Partner and works closely with a variety of operational business units. The role is locted in Trenton, Ohio which is just minutes from Cincinnati.

 

The Responsibilities: 
•    Coordinates functional processes for an HR team.  Specific outputs will vary by functional area –examples include the following:

  • Acts as a liaison and tracks matters related to employee FMLA/Reed Group and attendance program.  Follow-up with management accordingly.
  • Periodically partners with HR and Recruiters to schedule candidates for interviews, facilitate testing of candidates and follow-up. 
  • Develops onboarding documents for hourly and salaried hires and associated communication to candidates, HRBP and managers.
  • Sets new hires up in Kronos, coordinates security badge and sets schedule up to pay new employees.
  • Handles administrative work associated with new hires, facilitating and tracking retirements and is a point of contact for all employees.
  • Drafts and sends pre/post communications for HR.
  • Partners with HRBP and other teams to develop and execute on site activities (e.g. Cancer Awareness Month, United Way Campaign, Employee Surveys).
  • Coordinates reward and recognition programs.
  • Manages employee records in People Central related to employee status (e.g. (STD, LTD; FMLA).
  • Inputs and tracks data for Learning & Development.
  • Liaison with benefits administrator (e.g. Fidelity).
  • Posts all internal jobs.
  • May backfill payroll periodically.
  • Files all HR forms and documents.
  • Supports organization World Class Supply Chain pillar initiatives/projects.
  • Coordinates some communication and problem solving around open enrollment for employee benefits.

 

Provide administrative support to the HR function, which may include the following activities:

  • Preparing complex and highly confidential correspondence and reports.
  • Order office supplies within budget.
  • Act as team technology expert.
  • Arrange travel schedules and process T&E per company policy.
  • Coordinate all meeting logistics including scheduling, meeting room reservations, catering, hotel and AV requirements when needed.
  • Frontline problem solve for employees.

 

 

The Other Qualifications:
•    Possess a High School Diploma
•    Possess at least 3 years of experience as an administrative assistant, or a Bachelor’s Degree in lieu of experience
•    You have the ability to exercise independent judgement and employ basic reasoning skills
•    Capability to analyze complex information requests and determining complex trends
•    Advanced proficiency in MS Office Suite (specifically Excel)
•    Ability to create and modify SharePoint Sites
•    Ability to maintain confidentiality and work with sensitive data

•    Kronos timekeeping system experience is preferred
