The Headlines:  

 

In the role of Sr. Administrative Assistant working in Milwaukee, Wisconsin you will be responsible for providing high-level administrative support to two executive leaders and their teams in the Legal and Government Affairs function.  This position exercises considerable discretion and independent judgment.  Effective calendar and people management skills are critical as well as sound communication skills associated with routine and high-level written and verbal correspondence.  The role will also require entry into SAP for certain financial functions and support with purchase orders and accounts payable, and management of the legal department’s ebilling and matter management systems.

 

 

The Responsibilities:  

  • Compile and produce complex information for inclusion in reports or presentations and the creation of charts, graphs or tables 
  • Responsible for complex office activities, special projects, high-level correspondence through email, phone, and mail 
  • Calendar and time/people management for company executives 
  • Prepare and file key records, statistics and reports 
  • Administer programs, projects, or other processes specific to legal and government affairs
  • Manage travel arrangements and process expense reports
  • Process and track purchase orders, check requests, and legal fee invoices
  • Manage ebilling and matter management platform (currently CounselLink) and interfacing with law firms and external vendors

 

The Other Qualifications:  

  • You have a high school diploma/GED
  • You have at least 6 years of experience as an administrative assistant (SAP, purchase order, and legal ebilling platform management preferred), ideally within a law firm or large corporation’s legal department
  • You have experience with Microsoft 365 and Teams and are proficient in Excel, Word, and PowerPoint; You have SAP purchase orders and Concur experience.
  • You love a challenge. You complete complex projects quickly and adeptly with your understanding of the business priorities
  • You are confident and competent and operate with the highest integrity. You build relationships and collaborate to get to the desired outcome.   You are diplomatic, professional and exercise great judgment in developing and maintaining excellent business relationships

  • You have a thirst for learning – you are always looking for ways to learn and help one another grow
