Office Administrator, Export & License

Location:   Prague, Czech Republic  

*This role require working form the office location. As People First organization we’re happy to discuss flexible hybrid working options.

Your Purpose taking this role will be to provide a flexible and confidential service and support primarily to the Export & License HR and Czech teams.  To approach all interactions and activities with a strong customer centric lens, driving a positive experience with all stakeholders and to work proactively and seek opportunities to drive efficiency.

 

Some key responsibilities will include also:

  • To flexibly assist in various capacities to Export & License team including full administrative service dealing with work of a highly confidential nature. Provide support for reports, letters, presentations, travel accommodation, expense reports etc.
  • Provide admin support dealing with People development activities, Support with organizing trainings, proactive and thoughtful diary management, candidate scheduling, offers and communication.
  • Maintain and control supplies inventory for Czech E&L team; including product ordering and shipping, controlling the deliveries and monitoring costs; Monitoring stock of non-Czech produced brands, anticipating needed supplies working closely with warehouse and commercial team.
  • Administration around creation of purchase requests in SAP and maintaining the purchase orders. Vendor setup coordination and communication with CZ finance and procurement teams.
  • Support visitors and new hires, promptly and effectively with both internal and external requests and to maintain up to date & effective filing, data management and systems ensuring confidentiality.
  • First point of contact for office with calls and email enquiries, proactively dealing with routine matters on behalf of others in team, maintain contact lists and support Czech new hires administration.

    At least 1 year relevant working experience on administrative or customer oriented position or open to learn.

    Ability to build credible, trusting partner relationship and find solution.

    Organizational skills as well as detail oriented.

   MS Excel- basic experience and desire to learn.

    Persuasive and influential communication skills and ability to effectively interact in a cross-functional environment with all levels of management and oriented to find solution and grow.

    You are fluent in English and Czech language.
