HR Admin Specialist

This role involves working on HR Data to create, amend and maintain HR master data.  

This role is responsible for providing HR support services to allocated stakeholders, by processing employee information and maintaining employee records in internal systems and tools, as per Hire to Retire scope.

Performs quality and accuracy checks, being directly responsible of the quality and integrity of the HR databases.

Organizes and delivers training in HTR HR Admin area, being a subject matter expert in the HR operations allocated. Ensures training and coaching for new employees from HTR HR admin area.

 

Responsibilities

  • Delivers on Time in Full in the HR systems the end to end HR activities in the scope: from onboarding to exit with focus on nonstandard, complex requests.  
  • Manages the audit requests by providing required evidence in a timely manner. 
  • Handles internal systems requests (ServiceNow, People Central, phone calls etc.), performing transactions accurately and in due time according to the agreed Service Level Agreements & Key Performance Indicators. 
  • Owns the integrity and accuracy of the HR Systems Data for the clusters / regions supported. Performs data reporting and controls in order to ensure data accuracy and quality. 
  • Supports team’s coordinator in TL in allocating workload as per the lever of expertise within the team.  
  • Monitors the data replication between HR systems (People Central, SAP, Talent Aquisition etc.) in order to solve any discrepancies.  
  • Ensures accuracy of salary calculations (through the quality and accuracy of the inputted data in HR systems), accuracy of job titles/codes, pre-employment process accuracy, learning process, does the system required approvals, and follows-up as necessary. 
  • Addresses process issues, gaps in procedures by contributing to Standard Operating Procedures /Quick Reference Guides update. 
  • Supports continuous improvement with focus on improving existing processes 
  • Optimizes data quality by conducting regular quality check and ensuring employee data is kept up to date and accurate 
  • Is actively involved in projects and initiatives as a solid contributor 
  • Contributes to increasing the satisfaction of our users by conducting data analysis, Voice of Customer call backs, process reviews etc. 
  • Acts as buddy and trainer for new joiner and colleagues who need support daily. 
  • Proactively engages in improvement initiatives and has a solid track of contributions in major project aligned to business need.   
  • Displays an excellent business acumen and contributes to processes stabilization and operational best practices. 
  • Acts as a knowledge source for their peers and frequently raises process risks.  

 

Qualifications

Required: 

  • Availability for the following schedule: 2 weeks/month 10:00 -18:30, 2 weeks/month 13:30-22:00

  • One year relevant experience in HR admin or equivalent field; 3 years total experience in HTR Admin or related area;  

  • Excellent understanding of an at least HR admin tool (application) and HR admin processes behind it 

  • Very good attention to details & analytical skills;  

  • Good stakeholder management skills 

  • Very good planing & organizing skills 

  • Very good problem solving skills 

  • Good MS Office knowledge (Excel, Word, Powerpoint) 

  • Good English knowledge  

  • Able to prepare and deliver HTR HR admin presentations/training to a range variety of stakeholders (new hires from HTR HR admin, management stakeholders etc) 

Preferred: 

  • One year previous experience in a shared service center or similar industry  

  • Excel - advanced
