The Facility Manager is responsible for enabling the effective functioning of the GBS Romania facility, by providing an efficient and safe working environment for employees and their activities by using best business practices to manage resources, services and processes to meet the needs of the GBS Romania company.

 

KEY RESPONSIBILITIES

Process:

  • Develop and implement a facility management program including preventative      
  • maintenance and life-cycle requirements
  • Conduct and document regular facilities inspections
  • Ensure compliance with specific health and safety standards and industry codes
  • Allocate and manage facility space for maximum efficiency
  • Coordinate intra-office moves
  • Supervise maintenance and repair of facilities and equipment
  • Oversee facility refurbishment and renovations
  • Plan and manage facility central services such as reception, security, cleaning,
  • catering, waste disposal and parking
  • Implement best practice processes to increase efficiency
  • Obtain quotes and tenders from vendors and suppliers
  • Calculate and compare costs for goods and services to maximize cost-effectiveness
  • Negotiate contracts to optimize delivery and cost saving
  • Coordinate and monitor activities of contract suppliers
  • Manage contractor and vendor relationships
  • Manage and review service contracts to ensure facility management needs are being
  • met successfully
  • Ensure delivery schedules, quantity and quality criteria are met
  • Check completed work by contractors and vendors
  • Verify payment and invoicing match contract pricing
  • Plan and monitor appropriate facility management staffing levels
  • Ensure efficient utilization of facility maintenance staff
  • Performance manage, develop and train staff
  • Prepare and track facility budget
  • Monitor expenses and payments
  • Generate and present regular reports and reviews of facility-related budgets, finances,
  • contracts, expenditures and purchases
  • Develop and implement cost reduction initiatives
  • Advise on and monitor energy efficiency
  • Oversee environmental health and safety
  • Assure security of the facility
  • Respond to facility and equipment alarms and system failures
  • Provide prompt response to requests and issues from facility occupants

People:

  • Managing Reception team.
  • Coordinating activities and services with external vendors.
  • Owning and facilitating team meetings for better process performance and enhancement of team skills
  • Ensure all Leadership members are aware of KPIs for agrees deliverables and of current & expected performance output

Stakeholder Management:

  • Build strong and effective relationships with Internal and External Stakeholder

Finance:

  • Oversee department budget creation and approval
  • Drive overall improvements
  • Identify opportunities for cost reduction

Compliance

  • Adhere to company policies.
  • Complies with the Internal Regulation and the EHS (Employee Health and Safety), the FSF (Fire Safety and Fighting) and Environmental Protection duties laid down under the law.
  • Responsible for keeping confidential the information, as per the internal policy, within the limits of the duties attached to their job.
  • Informs the line manager of any non-compliance identified in their work.
  • Treat everyone with respect, be ethical, lawful and trustworthy.
  • Respects and correctly promotes the image of the company and the code of conduct.
  • Responsible for the use of the available resources of the company only for the benefit of the company.
  • Responsible for the correct management of the inventory of goods entrusted to them by the Company and the expense reports in connection with performance of the activity, in accordance with the internal procedures in force.

Support Technology Implementation

  • Identify the proper technology solution to drive standardization and define the main requirements for the build out phase.
  • Supervising system implementation as per the business requirement as per the baselining

SKILLS AND RELEVANT WORK EXPERIENCE

Required

  • Bachelors degree in Facilities Management, Facilities Engineering or related qualification such as project management, business management or construction management
  • Working knowledge of principles and practices of project management
  • Working knowledge of principles and practices of business administration
  • Working knowledge of financial principles and practices
  • Working knowledge of human resource management principles and practices
  • Working knowledge of electrical and mechanical systems
  • Working knowledge of procurement and contracts
  • Sound knowledge of health, safety and environmental regulations
  • Experience in construction, maintenance and all facets of facility operation
  • Solid computer and systems knowledge

Preferred:

  • Prior experience in Shared Service Centers/team leading
