In the role of an Executive Administrative Lead working at the Canadian corporate headquarters, you will be an important part of the success of the Canadian business leading a team of Administrative Assistants. This position is responsible for providing high-level administrative support to the President of Molson Coors Canada and leads the team of Administrative Assistants ensuring that the administrative needs of the rest of the Canadian Leadership team are met. This position requires considerable discretion and independent judgment. Key responsibilities include the ability to compile and produce complex information for inclusion in reports or presentations and the creation of charts, graphs or tables. Effective calendar, meeting and event planning and people management skills are critical as well as sound communication skills associated with routine and high-level written and verbal correspondence.
What You’ll Be Brewing:
- Responsibility for complex office activities
- Manages and supports direct team members in all aspects of their career development, as well as support and mentor indirect team members. Responsible for calendar and time/people management for a company executive
- Responsible for all travel related arrangements, including preparing expense reports, itineraries and following up with internal employees and external customers to confirm meetings
- Develop, manage and reconcile monthly executive G&A cost centre budget
- Responsible for high-level correspondence through e-mail, telephone, and mail
- Compile and analyze complex information
- Provide project administrative support as needed
- Produce charts, tables and presentation materials
- End to end executive meeting and event coordination which includes monthly leadership meetings, offsite meetings and annual conference. Aid in the preparation and filing of key records, statistics and reports
- Administer programs, projects or other processes specific to operating unit served
- Negotiate contracts, coordinate with vendors and manage meeting/event budget
- Develop and update organizational department charts
- Lead and collaborate with global executive assistants, external administrative teams and external industry leaders to coordinate scheduling and preparation for internal and external board meetings.
- Provide administrative leadership to direct team plus exercise influential authority to other departments within the organization when appropriate as directed by the executive team.
Key Ingredients:
- High school education required
- More than 6 years’ experience as an administrative assistant
- Experience working in a complex work environment and/or working for high-level management highly desired
- Experience with people management
- High ability to multi-task and prioritize
- Ability to exercise independent judgment and discretion and employ basic reasoning skills
- Capability to analyze complex information requests and determining complex trends
- Strong experience with Microsoft suite of applications
- Expert-level experience with all components of Microsoft Outlook
- Administrative leadership and decision making

Pay and Benefits:
At Molson Coors, we’re committed to paying people fairly and equitably for the work they do.
Job Posting Total Rewards Offerings: $73,600.00 - $96,600.00 (posting salary range) + 9% target short term incentive + $11,000 on average spent on benefits per employee, including but not limited to health, dental, vision, retirement with above market employer match, wellness incentives and EAP + paid time off (including holidays, vacation days and sick days).
The posting range provided above for salary is what we, in good faith, believe we would pay for this role at the time of this posting.
