Molson Coors is seeking a highly motivated and talented individual to join the clerical team at the Toronto Brewery.
As a Departmental Administrative/Scheduling Clerk, you’ll play a critical role in supporting the Toronto Brewery plant operations by ensuring accurate and timely payroll processing, effective workforce scheduling, and reliable administrative coordination for designated departments. You’ll work closely with department managers and HR by administering collective agreement provisions, maintaining work schedules, and supporting day-to-day workforce needs with accuracy and strong customer focus towards employees. This role requires strong attention to detail, sound judgement, and the ability to manage competing priorities in a fast-paced manufacturing environment.
This role will support Maintenance & Engineering departments. This is a unionized (UFCW Local 175) reporting to the HRBP, Supply Chain. Pay for this role is in accordance with the Collective Bargaining Agreement.
What You’ll Be Brewing:
Payroll & Time Administration
- Complete end-to-end payroll processing for assigned department(s), ensuring accuracy and timeliness
- Administer daily timesheets, including reviewing/adjusting entries for hourly employees in accordance with Collective Agreement provisions and supporting leaders and employees with timely corrections
- Ensure payroll activities are completed in compliance with internal controls and SOX compliance
- Prepare payroll reports, audits, and supporting documentation as requested
Scheduling
- Develop, enter, maintain, and adjust weekly work schedules in alignment with job picks, staffing requirements, and Collective Agreements
- Post departmental schedules in accordance with Collective Agreement timelines and requirements
- Track and administer vacation schedules, lieu days, leave of absences (LOAs), and any additional time away from work as applicable
- Track and monitor employee hours to ensure full compliance with the Employment Standards Act (ESA)
- Prepare overtime schedules
- Carry out the equalization process for applicable departments to ensure fair distribution of hours and adherence to established scheduling rules
- Collaborate with department managers to forecast staffing needs and support operational planning
- Prepare, approve, and finalize vacation selections in accordance with vacation posting schedules
- Assist in job pick process(es) as needed, providing support related administrative tasks
General Administrative Support
- Maintain accurate and up-to-date records of schedules, time off requests, and shift changes to ensure employees and leaders receive timely, reliable information
- Manage call-in lines and attendance reporting practices
- Support onboarding activities by initiating system access and administrative requirements for new hires
- Process People Central (HRIS) actions and other HR system transactions as required
- Perform weekly collection and distribution of mail as required (assigned to the Brewing, Warehouse & Beer Store clerk, with Packaging Clerk and Maintenance & Engineering Clerk providing backfill support as needed)
- Support internal communications and posting to ensure timely and accurate information is received sitewide
- Maintain departmental office supplies and administrative resources (e.g. paper stock, general office supplies, etc.)
Employee & Leader Customer Support
- Act as the first point of contact for management and employee inquiries related to scheduling, payroll, attendance, and time-off
- Provide clear, respectful, and timely responses in a customer-focused manner
- Resolve issues proactively by identifying errors, escalating concerns appropriately, and following through to resolution
- Build strong working relationships with department leaders, HR, and employees to support smooth daily operations
In addition to the responsibilities outlined above, the employee may be required to perform other related duties as assigned to support departmental and organizational needs.
Key Ingredients:
- High school diploma or equivalent experience; Certificate or diploma in business, office administration, or a related field is considered an asset
- 3-5 years of related work experience in office administration and/or clerical functions
- Knowledge of payroll applications and systems
- Advanced understanding of payroll processes, timekeeping systems, and scheduling practices
- Ability to interpret and apply Collective Agreement provisions accurately and consistently
- Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint, etc.)
- Strong problem-solving skills with a focus on timely resolution
- Demonstrated customer-focused mindset with the ability to balance operational needs and high volume of employee inquiries
- Strong attention to detail with the ability to manage confidential and sensitive information
- Strong organizational and time-management skills in a deadline-driven environment
- Clear and professional written and verbal communication skills
- Ability to collaborate effectively with operations leaders, HR, and employees
